What we collect

  • Account: email and name; if you sign in with Google or Apple, the email and name they provide.
  • Learning content: text you submit for translation, explanation, rewriting or summarizing, the generated results, the words and sentences you save, and your review history.
  • Settings: native language, learning language, usage mode, and anything you write yourself under "About me".
  • Knowledge base: material and writing rules you add yourself (including the body text read from web links you provide). For explanations and rewrites, a few relevant entries are sent to the AI provider along with the request. Passwords, bank card numbers and keys are masked before being stored.
  • Subscription: subscription status and expiry date. Card numbers are handled by Stripe or Apple; we do not store them.
  • Usage: the number of requests per day, used to apply the limits.

Keyboard, Mac app, recordings and Watch

  • When you tap "Explain" or "Rewrite", the TomTrove keyboard sends the text in the input field, or the message you copied, to our server.
  • Sentences you send with the TomTrove keyboard that are written in your learning language are sent to the server, to find places that could sound more natural and sentences you send often. You can turn this off, delete individual sentences or clear them all in the app under Me → Sentences I've written. Unsent drafts and text in other languages are not sent.
  • When you press ⌥E or ⌥R (or click "Explain" or "Rewrite" in its window), the Mac app reads the selected text or the text in the input field and sends it to the server.
  • The Mac app's clipboard history is stored only on your Mac (~/Library/Application Support/TomTrove) and is not uploaded; items that password managers mark as concealed are not recorded. An item is sent to the server only when you click "Explain" on it in the panel.
  • When you press Return to send a message, the Mac app reads the text in the input field at that moment; if it is a sentence written in your learning language, it is sent to the server to find places that could sound more natural. Password fields are not read, nor is anything in terminals, code editors or password managers. You can turn this off from the menu bar menu.
  • For conversations recorded on iPhone and Apple Watch, the audio is stored only on your iPhone; transcription and live translation are done on the phone by Apple's system.
  • When you tap "Extract learning points", the text of that conversation (without audio) is sent to the server to generate study cards.

Who processes it

  • AI providers: xAI (Grok) and Microsoft Azure OpenAI, for translation, explanation, rewriting and summarizing. Only the text needed for each request is sent.
  • Payments: Stripe (website) and Apple (iPhone).
  • Servers: Hetzner (data is stored in its data centers). Email: system emails such as verification codes are sent through an email provider.

We do not sell personal information or use it for advertising.

Retention and deletion

  • Your learning content is kept for as long as your account exists. You can delete individual cards in the app and on the website; deleting a recording in the iPhone app removes it from the phone.
  • To delete your entire account and all data, email support@tomtrove.com. We will process the request within 30 days.
